About The Role

The Senior Executive Assistant at Everest plays a crucial role in managing client relationships, ensuring high-quality support and proactive solutions. In this role you will not only manage executive-level clients but also mentor a team of Administrative and Executive Assistants.

Responsibilities:

●    Client Management & Strategic Support: Act as a trusted partner to senior-level clients, overseeing complex calendars, prioritizing tasks, and providing strategic guidance. Manage high-volume inboxes, compose critical correspondence, and coordinate cross-functional projects with minimal oversight.

●    Mentorship & Team Leadership: Lead and mentor Administrative and Executive Assistants, providing guidance on best practices, professional development, and performance feedback. Establish team standards and workflows, fostering a culture of continuous improvement, collaboration, and accountability.

●    Communication: Excellent written and verbal communication skills, with the ability to influence, negotiate, and navigate challenging conversations diplomatically. Handle sensitive information with the utmost discretion, ensuring compliance with data protection and confidentiality protocols.

●    Project& Data Management: Analyze current administrative processes, identify inefficiencies, and implement improved workflows or technologies that enhance productivity for both clients and internal teams.

●    Problem Solving: Proactively resolve client concerns, acting as a liaison to manage escalations. Champion organizational change by sharing insights on automation, project management tools, and industry best practices

●    Reporting & Documentation: Generate reports on account performance and maintain detailed records of client interactions and project timelines. Manage or oversee client expense reporting, invoicing, and budget tracking, providing strategic insights on cost savings and resource allocation.

●    Cross-Functional Collaboration: Guide client onboarding, identify growth opportunities, and collaborate with product and technical teams.

Skills and Qualifications:

●    Experience: 7-10+ years supporting C-level executives in roles like Executive Assistant or Chief of Staff. Proven ability in managing complex communications, scheduling, and project coordination.

●    Leadership: Experience mentoring junior staff and leading cross-functional teams.

●    Technical Skills: Mastery of Google Workspace or Microsoft Office as well as familiarity with project management software (e.g., Asana, Notion) and communication platforms (Slack, Zoom). Familiarity with CRM software (HubSpot, Salesforce) and financial tools (Ramp, Brex).

About The Role

At Everest, a Personal Assistant (PA) is more than just support—they are the key to helping executives and high net worth individuals seamlessly blend  their professional commitments with their lives as private citizens. A great PA excels in managing complex tasks and proactively addressing challenges before they arise.

We are seeking highly organized, proactive, and detail-oriented Personal Assistants to provide seamless support for executive and HNW clients. This role requires a sharp eye for scheduling, coordination, and anticipating needs, ensuring that all personal tasks run smoothly. The ideal candidate is tech-savvy, resourceful, and excels at calendar management, travel planning, household administration, and day-to-day task optimization.

Responsibilities

Responsibilities for this role are highly individualized and depend on the unique needs of each executive. Tasks may vary and can include some or all of the following:  

Calendar & Schedule Management

●       Maintain and update personal calendars, ensuring no conflicts and alignment with professional calendars.

●       Proactively spot scheduling bottlenecks(e.g., too much travel, back-to-back meetings).

●       Coordinate and schedule appointments(doctor, dentist, dermatologist, nutritionist, trainer, etc.).

●       Ensure childcare coverage is planned, identifying gaps ahead of time.

●       Send reminders for birthdays, anniversaries, and key events, and plan and send gifts.

●       Organize and track family commitments, school schedules, and extracurricular activities.

Home & Family Administration

●       Manage household bills, subscriptions, and utilities, ensuring on-time payments.

●       Assist with household vendors, including cleaners, maintenance, and landscapers.

●       Maintain a family calendar with important dates and commitments.

●       Arrange household deliveries, repairs, and purchases as needed.

Travel & Reservations

●       Plan and book hotels, flights, rental cars, and ground transportation.

●       Research and reserve restaurants, entertainment, and activities.

●       Optimize and track points and rewards programs for hotels and airlines.

●       Identify potential travel fatigue and scheduling conflicts before they arise.

Events & Special Occasions

●       Source and purchase theater, concert, sports, and event tickets.

●       Plan and organize birthday celebrations and holiday gifts.

●       Send reminders and assist with holiday travel and planning.

Communication & Task Management

●       Maintain and organize work and personal emails, responding to inquiries when needed.
